QA Returns Administrator-2 – Northlake

We are currently seeking an exceptional customer service professional to join us as an QA Returns Administrator.

The Q.A. Returns Administrator is accountable for reviewing, validating and accepting the Return Material Authoriza- tions (RMAs) into the “returns” process database for the purpose of matching the RMA to the actual product returned; determines the accurate disposition of the returned product to avoid the future release of non-conformant product; notifies the Incora Sales representative when non-authorized product returns are received, prompting the investigation and potential approval of an RMA for tracking purposes; notifies the Incora Accounting Department of the completion of the RMA verification, for the purpose of adjusting the customer sales account accordingly.

About You
Essential Duties and Responsibilities
· Reviews RMAs in the database system and accepts them into the “returns” process
· Verifies that the returned product shipments have the accurate number of parts, pieces, boxes or bags and documentation, in accordance with the RMA, and notifies the Incora Sales representative of the return
· Determines the appropriate disposition of the returned product in accordance with the reason for the return (i.e., wrong part, early shipment, defective product, etc.) to avoid future escape of non-conforming product
· Upon verification of the completed disposition of the return product, confirms the return status code of the RMA in the database system as “completed”
· Prints the RMA report and dispatches it to the Accounting Department for customer account adjustment
· Assists the Orange Tag Department, Quality Inspection and Cert Review functions, as trained and assigned

Errors in disposition of product with defects, incorrect identification, or labelling could cause escape of non-conforming or defective parts for future orders, with financial loss of time and resources and additional Return of Materials Authorizations (RMAs)

Ability to utilize the internal systems and resources available to communicate and perform the essential job functions with maximum efficiency, specifically the Returns system processes

Ability to utilize the internal systems and resources is a critical aspect of accessing necessary information and communication; Systems include Incora U.S. intra-net system, database system, email, and the use of printers, copiers, faxes and in-house telephone systems

Ability to competently perform basic writing and speaking skills in English and perform accurate data entry and clear notes in data base system

Education, Experience and Qualifications
· Education Educated to National Vocational Level (NVQ) or equivalent (EU) High School diploma or equivalent (USA)
· Experience
Minimum of 1 year data entry and industry experience is preferred · Qualifications
Excellent organizational and time-management skills Clear and accurate data entry and documentation skills
Strong follow-through and perseverance to handle multiple tasks simultaneously
Excellent customer service skills with the ability to deal tactfully, confidently and ethically with both internal customers;
Ability to be detailed oriented and perform in-depth research, if required
Ability to be cross-trained in multiple critical areas of the department Strong competency working with integrated data systems and Microsoft Office Suite, including Outlook, as required
