An exciting position has arisen for an Administrative Assistant to join the Division of Psychological Medicine & Clinical Neurosciences at Cardiff University, based in Cardiff University’s flagship Hadyn Ellis Building.
We are seeking an organised and proactive Administrator to support the delivery of the Mental Health Goals (MHG) OMICS project. Working closely with the Project Manager and Project Officer, you will play a key role in coordinating project activities, supporting recruitment processes, and ensuring the smooth day-to-day administration of the project. This is an excellent opportunity for someone with strong organisational and communication skills who enjoys working as part of a collaborative research team.
The Mental Health Goals (MHG) Omics programme is a landmark UK-wide initiative, funded by the UK Government, aiming to revolutionise our understanding and treatment of severe mental illness. Building on significant advances in genomics, proteomics, metabolomics, and digital health, the project will establish the world’s largest multi-omic cohort of people with psychosis and mood disorders, linked to extensive clinical and real-world health data. This new national infrastructure, developed in close collaboration with individuals with lived experience, the NHS, academia, and industry, will accelerate the discovery of biological mechanisms, identify biomarkers for personalised treatments, and make the UK an attractive place globally for mental health innovation. Led by a collaborative, friendly, and highly expert team spanning Cardiff University, the University of Cambridge, Cambridge and Peterborough NHS Foundation Trust, the University of Edinburgh, and King’s College London, MHG Omics offers an exciting opportunity to contribute to a truly pioneering programme with the potential to change lives and shape the future of mental healthcare.
In this role, you will:
- Provide high-quality administrative support to the project team to support the effective delivery of the research project.
- Coordinate project meetings and events, including scheduling, preparing documentation, taking minutes, and arranging travel and accommodation where required.
- Support participant recruitment by preparing recruitment packs, liaising with external recruitment sites, and maintaining accurate recruitment records and project documentation.
- Provide financial administrative support to the project team, including raising purchase orders, receipting invoices, and processing expense claims in line with organisational procedures.
- Have experience working in an administrative or office environment and are confident managing a range of administrative tasks.
- Are highly organised and able to plan and prioritise your workload to meet deadlines.
- Have excellent written and verbal communication skills and are able to build positive working relationships with a range of stakeholders.
- Are confident using standard office IT packages (such as Microsoft Office) and maintaining accurate records and administrative systems.
This role is eligible to be offered on a blended working basis, meaning that as well as spending time working on campus you can also choose to spend some time working from another location, e.g. your home. There are some things that you must have before you can start this role (see ‘Essential Criteria’), but other things can be developed either through training, or just by general on-the-job experience. We want to support and develop you once you have started in the role using a combination of the following to get the best out of you:
- Regular one-to-one meetings with your team leader.
- An experienced and supportive team around you.
- Support to undertake job-relevant training and development, as identified by your Line Manager. This could be informal or could be an apprenticeship leading to a formal qualification, such as Business administration NVQ.
- A staff mentoring scheme.
- Support to learn Welsh or to update language skills.
This post is full-time (35 hours per week), available from 1st July 2026 and fixed term until 31st August 2029.
Salary: £25,249 – £26,093 per annum (Grade 3). Appointments to roles at Cardiff University are usually made at bottom of scale unless in exceptional circumstances.
