Job Summary
We are seeking a proactive and highly organised Administrator to support our Cladding Remediation Team. This role is pivotal in ensuring smooth operations across project scheduling, team coordination, compliance tracking, and administrative support. The ideal candidate will be detail-oriented, confident in managing multiple priorities, and comfortable working in a fast-paced environment.
Primary Responsibilities
General Administrative Support
- Support Directors with diary management
- Support the Group Cladding Director with inbox management
- Provide day-to-day support to the Cladding Remediation Team as required
- Attend board meetings, taking accurate minutes and logging and distributing actions
- Attend funding meetings, taking accurate minutes and logging and distributing actions. Issue and log funding certificates
- Maintain and update the dispensation log with supporting documentation
Cladding Communication Management
- Filter and manage the team’s communications inbox
- Ensure all emails are acknowledged and directed to the appropriate team member
- Support the cladding communications team in the timely response to enquiries
Project Milestone Management
- Coordinate and organise key project meetings
- Track and monitor project milestones including Concept, Stage 1, Stage 2, Pre-Tender, and Pre-Start reporting to Group Cladding Director
Event Management
- Organise strategy days and team events including venue booking, accommodation, and catering.
HR & Staff Support
- Collate and file key HR paperwork
- Ensure new starter procedures are completed thoroughly
- Maintain and update the Training Matrix, ensuring all staff training is current and scheduled to avoid lapse and booking as required
- Order PPE and resources for the team as required
- Assist with hotel, train, and flight bookings using the travel platform.
Experience, Qualifications, Technical Requirements
- Proven experience in a similar administrative role
- Strong organisational and time management skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office and other relevant software
- Ability to take initiative and work independently
- Experience with diary management, minute taking, and event coordination
