Restaurant Reservations Agent –
Waldorf Astoria London – Admiralty Arch is seeking a Restaurant Reservations Agent to join the pre-opening team for this highly anticipated new luxury hotel opening later this year.
This is a unique opportunity for an experienced luxury hotelier to join the founding team and help shape the guest experience at this landmark hotel.
Located at the end of The Mall opposite Buckingham Palace, Waldorf Astoria London – Admiralty Arch will feature 100 elegant rooms and suites and 17,500 sqft of private residences. The hotel will open with two signature restaurants – Coreus by Clare Smyth and Café Boulud by Daniel Boulud – bringing together two of the world’s most celebrated Michelin-starred chefs. Guests will also enjoy a world-class spa, state-of-the-art fitness facilities, and a collection of grand event spaces, including a ballroom for up to 320 guests.

We are looking for hospitality professionals who are passionate about delivering an exceptional fives star guest experience, consistently upholding the worldclass service standards recognised by Forbes.
Here’s what you’ll do during a typical day:
As a Restaurant Reservations Agent , you will serve as a key ambassador of the hotel’s dining and event experiences, acting as the primary point of contact for all restaurant and small – scale event reservations. You will deliver intuitive, refined, and anticipatory service, ensuring every interaction reflects the prestige of an ultra – luxury hotel.
Key responsibilities include, but are not limited to:
- Accurately manage and administer all restaurant reservations, private dining inquiries, and related guest correspondence, including confirmation and billing details
- Handle telephone, email, and written inquiries with polish, discretion, and efficiency, in full alignment with brand strategy and luxury service standards
- Maintain expert knowledge of all hotel food and beverage outlets, menus, experiences, and the local area to provide informed and bespoke recommendations
- Ensure reservations are secured, policies are adhered to, and cancellation or no – show charges are applied appropriately, protecting both guest satisfaction and revenue integrity
- Conduct thorough pre – arrival and arrival quality checks to ensure all guest preferences and expectations are captured and delivered seamlessly
- Respond to all guest and client communications in a highly professional, warm, and composed manner, ensuring absolute accuracy and attention to detail
- Deliver prompt, refined service at all times while consistently upholding the hotel’s luxury brand standards
- Plan, coordinate, and execute small – scale events including private dinners, lunches, afternoon teas, and special dining experiences within the hotel
- Build meaningful guest relationships through regular interaction, anticipating needs and fostering loyalty, repeat business, and expanded revenue opportunities
- Proactively identify and execute upselling opportunities to enhance the guest experience and drive incremental revenue
- Deliver an exceptional level of service that consistently exceeds guest expectations and reinforces long – term brand loyalty
- Ensure all BEOs and group function sheets are accurately prepared and handed over weekly to Food & Beverage Operations and Front Office teams for the upcoming 7-10 – day period, with all details confirmed and aligned with credit policies
- Conduct site visits, show rounds, pre – event meetings, and post – event reviews as required

- A polished, confident telephone manner with outstanding verbal and written communication skills
- Exceptional organizational and administrative proficiency, with strong attention to detail
- Intermediate computer skills and comfort working across multiple systems
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:
- Previous experience in a reservations, food and beverage, or luxury hospitality environment
- Further or higher education qualifications in hospitality, events, or a related discipline
